From Chaos to Control: Our Journey with Hive

By: Dr. Emily Soni, DO

When we opened our family medicine clinic, we had a clear vision: build a practice where we could focus on our patients instead of paperwork. But like many independent clinics, we quickly found ourselves drowning in financial complexity. We needed a way to understand our business clearly and plan for growth.

We knew it was time for a change, and that’s when we decided to partner with Metis to create Hive software. Here's how it changed our practice:

First Steps: Getting Clear Answers

Right away, Hive showed us things we couldn't see before. For one of our biggest payer contracts, we discovered we were being paid less than we should be. Once we fixed this, our revenue from that contract more than doubled. This was money we had earned but didn't know we were missing.

We also started seeing:

  • Exactly which insurance companies were paying us late

  • Which services were making money and which weren't

  • Where we were spending too much time on paperwork

  • When payments didn't match what we should have received

Daily Work: Making Things Simpler

As we used Hive more, our daily work became easier. The system:

  • Guides us to which financial and operational tasks are most important each day

  • Catches payment errors before they become bigger problems

  • Shows us when we should update our prices

  • Makes it easier to post payments and follow up on unpaid bills

Now our team spends less time on paperwork and more time helping patients. When we do need to handle business tasks, we know where to focus and why it matters.

Planning Ahead: Building Something Better

Once we had a clear picture of our business, we could start planning for the future. With Hive, we can:

  • Test different ideas before we try them (like hiring new staff or adding a service)

  • See which parts of our practice could grow

  • Prioritize and align our quality work

  • Share bonuses with our staff when we do well

  • Know how changes in healthcare payment or policy might affect us

For example, as we consider expansion or new services, Hive helps us understand exactly what it would mean for our practice before we made the change.

Where We Are Now

Today, we're not just surviving—we're building the practice we always wanted. We have a clearer understanding of our finances, more predictable income, and facts to back up our decisions. And with predictive analytics to plan our future, we are excited to grow while having more time for our patients. We are reclaiming our ‘work joy’, or arbejdsglæde which is the Scandinavian concept of finding happiness at work—we like what we do, are proud of it, and know it creates compounding returns for both our patients and our team.

The best part? We're in control. We know exactly how our practice is doing and what we need to do next. Our team is proud of the care we give, and we can prove we're doing good work.

Advice for Other Practices

If you're thinking about using Hive, know this: it's not just another computer system. It's like having a smart, tireless partner who helps you understand your business and make it better. The result is what we all want—more time to care for patients while building a practice that will last.
